5 tips to CREATE effective email subject lines

Emails have been around now for a very long time. Yet, few people know exactly how to create an effective email message. We use emails to apply for a job, pitch our new product or service to a client, communicate for our company or government, stay in touch with some friends and families.

Now you may wonder why I focus on emails when nowadays people use more Whatsapp or Facebook or a calls to communicate. My answer to you is the following: there is a very thick  line between official communications and unofficial communications. Email is replacing officially the post office of old days. We know perfectly that any communication that comes to our P.O. BOx means a lot us. So, social or instant communication is good but always remember that emails stay and will always stay the most reliable as official communication between a sender and a receiver.

Having said so, I will share with you 5 tips to Create effective email subject lines that will entice people to open your emails and have your message received effectively.

Before i start sharing the tips to improve your email subject line, let us see some statistics from hubspot about email as a communication channel. These statistics will help you decide what priority to give when it comes to using it:

  • Active email accounts are expected to hit 5.6 billion by 2019.
  • Mobile opens accounted for 46 percent of all email opens.
  • 35% of business professionals check email on a mobile device.
  • Apple iPhone is the most popular mobile client for reading emails with 29 percent of all opens occurring on this platform. Gmail is a close runner-up at 27 percent.
  • 73 percent of millennials prefer communications from businesses to come via email.
  • More than 50 percent of U.S. respondents check their personal email account more than 10 times a day, and it is by far their preferred way to receive updates from brands.
  • 99% of consumers check their email every day.
  • 59% of respondents say marketing emails influence their purchase decisions.
  • 59% of marketers say email is their biggest source of Return On Investment (ROI).

Now let us see the 5 tips to apply to your subject line.


 1.- Your subject line should be a summary of your main message:

During my professional education and work experience spreading over at least 15 different cultures, I have exchanged thousands of emails and i can tell you that there is a big lack of writing skills on both sides, employers and employees. I am glad I had the opportunity to educate myself very well at Toastmasters International which gave me the writing skills i needed to succeed in my career. 

The key here is that when you write an email, your subject line should be a summary of the main idea developed in your email body. Consider it as the title of your speech.

2.-  It should not exceed 50 characters (including space) - use the tool below to help you:

Well, the logic behind keeping the subject line short and sweet is a matter of following Twitter philosophy: find the best words that express your main message. That is a skill you can acquire throughout the years and only if you read a lot in the language you are writing. So, keep your email subject line to the point.

3.- It should include a number when the main message is focusing on results or statistics

To clarify this point, let us take as an example an email that is intended to inform about the performance of a training campaign. When you send that email to the list of concerned people, you can say for example “Training -  6 people interested”

4.- If the main message has a sense of urgency your subject line should reflect that:

We have to be careful here. I am not saying we should write words like “URGENT!!!” in your email subject lines, but I want to emphasize on a way people can take action as soon as possible(ASAP) to open your message especially if it needs quick attention. For example, if you are going on vacation and you want your supervisor to approve your leave urgently you could write something like: “Leaving on wednesday: pending your approval.”

5.- Never use these in your subject lines: 

- All in capital letters (that is like shouting),
- Exaggerated exclamation points (such as HELP!!!),
- Exaggerated use of emoji icons, 
- Grammar/spelling mistakes (Bad grammar/spelling means you are uneducated/unqualified - be careful of who you follow on social media), 

I hope those words of wisdom will help you create better email subject lines to help you reach your goals. As you could notice, the subject line on its own is not enough for you message to make a positive impact. It depends on the body of your email message that must follow the rules of speech writing (Intro, body and conclusion).
